From chaos to order and how Custom GPTs and Agents streamline your business.

The shift that’s already happening
There is a lot of talk right now about Agents, Agent Mode and whether Custom GPTs are still relevant. For many professionals, it sounds confusing because these tools seem similar. But they are not. They are connected steps in a fast-moving evolution of how we work with AI.
🟩 Custom GPTs create the plan.
🟩 Agent Mode brings it to life.
If you want to understand where AI is heading and how to use it to save time in your business, now is the time to start learning. The professionals who begin exploring Custom GPTs today are already using them to simplify admin tasks, create reports faster and manage client workflows more efficiently.
Step 1: The Planner (Your Custom GPT)
🟩 Every great system starts with a plan.
A Custom GPT is your planner. It is your own version of ChatGPT that you have trained to think, sound and respond like you. It understands your business language, your tone and your goals. It does not just answer questions. It creates systems.
🟩 Think of it as the foundation for everything that follows. It builds the structure your automation will later execute through Agent Mode.
Example:
You create a Custom GPT called Social Strategy Coach and ask it:
“Map out a plan for tracking my weekly LinkedIn engagement. What should I measure, where should I store it, and how should I review it?”
Within seconds, it produces a detailed workflow:
🟩 AI Response Example:
I am Camari’s Strategist and act as Chief Operating Officer.
Workflow Title: Weekly LinkedIn Engagement Tracking
Purpose: To measure and improve LinkedIn visibility, engagement, and conversion outcomes through consistent weekly tracking and monthly analysis.
Owner: Chief Operating Officer (Camari’s Strategist)
1️⃣ What to Measure Each Week
A. Visibility (How Many People You Reach)
Post impressions or views
Profile views
Follower growth
Search appearances
B. Engagement (How People Interact)
Reactions such as likes
Comments
Shares
Engagement rate = (Total reactions + comments + shares ÷ impressions) × 100
C. Relationship and Conversion (How You Build Business Value)
New connections (especially ideal clients or collaborators)
Direct messages or enquiries
Link clicks to your website, booking page or training content
Mentions or tags
2️⃣Where to Store It
Option A: Google Sheets or Excel Tracker
Set up a simple table:
Week Commencing | Posts Published | Total Impressions | Avg Engagement Rate | Profile Views | New Followers | Comments | DMs/Leads | Top Post Topic | Notes/Insights |
Use colour coding to highlight performance (green for improvement, red for decline).
Option B: Notion Dashboard
Create a visual dashboard with columns for:
Post type (video, image, article)
Reach
Engagement
Conversion outcome
Include screenshots or post links for quick review.
3️⃣How to Review Your Data
Weekly Review (10–15 minutes)
Ask yourself:
Which post got the most engagement and why?
What did not perform well and what can I learn?
Did any engagement turn into real conversations or leads?
Am I reaching my intended audience?
Make one or two practical changes for the next week such as adjusting tone, visuals or posting time.
Monthly Review (30 minutes)
Look for clear patterns:
Your top three performing posts and why they worked
Engagement rate trends
Which content type builds the most relationships
Any ROI such as enquiries, sign-ups or collaborations
Finish by deciding what to repeat and what to stop.Consistency builds credibility, and even Millie the cockapoo knows steady progress gets results.
4️⃣ Efficiency Tips
Turn on LinkedIn Creator Mode for deeper analytics
Review your tracker every Friday morning
Take screenshots of analytics monthly for visual records
Repurpose your best posts into newsletters or short training clips
🟩 End of Example
You get a plan that makes sense for your business and voice. Think of your Custom GPT as your planner and strategist that provides structure and direction.
Step 2: The Action (Agent Mode)
Now you open the door.
Agent Mode is where the plan comes to life. It is the live environment that allows your system to act. When activated, ChatGPT can use your connected tools and perform the tasks you have approved.
You might say:
“Run my LinkedIn engagement report and email me the summary.” (or upload to a google sheet)
Because you are in Agent Mode, ChatGPT now has temporary permission to use Gmail, Google Sheets or LinkedIn to complete the task automatically. You will have already connected these accounts through your ChatGPT Settings and Connections, which ensures that access is secure and under your control.
When a task requires a login, you do this inside the Agent’s screen. You simply click “Take over” to complete the login process and confirm permission. The task then continues automatically within ChatGPT. You can watch it happen in real time, and once it finishes, access ends immediately.

While you focus on the bigger picture, it quietly does the repetitive work. Think of it as your manager clocking in and getting the job done.
The goal of Agent Mode is to create a live, action-ready environment where all your preparation finally pays off. The plan from your Custom GPT is now executed automatically, and the results appear in real time.
Even with full automation available, the real skill will lie in how well you design, structure and manage your systems, not just in turning them on.
Why this matters now
If you are managing multiple projects, clients or admin-heavy processes, this shift will separate businesses that keep up from those that fall behind.
From what we have seen so far, Agent Mode is set to become a major part of how ChatGPT works. Eventually, Agents will run tasks continuously, not just while you are in a live session. The always-on automation professionals have been waiting for is coming soon.
My Experience Using Agent Mode
When I first tested Agent Mode, the results were impressive. I connected my setup to LinkedIn, pulled my post statistics, updated a Google Sheet automatically and even sent a test email, all within minutes. Everything ran smoothly and demonstrated exactly how the system bridges thinking, planning and action.
It proved that the transition from Custom GPT to Agent Mode is not just theoretical. It is already practical. This is not a coming-soon feature. It is a working example of how automation now integrates with your everyday tools.
That experience showed how real-time AI can manage data, reporting and communication with precision while keeping you in control.
How they connect
Stage | Role | What it does | When it operates | What you gain |
Custom GPT | Planner | Designs your workflow and process | In chat only | Clarity and direction |
Agent Mode | Action | Executes tasks using live access | In real time | Automation and results |
These two stages now work seamlessly together. Thinking leads to execution. That is where real efficiency begins.
Even with full automation available, the real skill lies in how well you design, structure and manage your systems, not just in turning them on.

The Knowledge AI Can’t Replace: Understanding How Your Organisation Actually Works
The next wave of leadership will not be defined by who can use AI, but by who understands how their organisation truly operates.
The new skills for leaders and managers go far beyond prompts and tools. They involve understanding workflows, Standard Operating Procedures (SOPs), and the systems that drive daily operations. The future belongs to leaders who can analyse processes, remove bottlenecks, and design smarter ways of working before automation is even applied.
